What is Metadata Import Function?

  

The Metadata Import Function (MIF) of DS-7000/3500 allows the recorder to display a list of metadata on the device and embed the selected metadata in the file header of dictation. The metadata can be pushed from your application to the DS-7000/3500 by simply creating a XML file and copying it to the System folder in the device. During the dictation procedure, the author can chose a particular metadata from the list and associate the selected metadata with the dictation file. Since the selected metadata is stored in the file header, your application can obtain the metadata by using Olympus File Download SDK.

 

 What are the main features of Metadata Import Function?

 

The metadata can be transferred to the DS-7000/3500 with a XML file and enable the DS-700/3500 to run automatically in MIF mode. This will enable users to associate metadata with the dictation file in the device. By utilizing MIF software partners can provide streamline dictation and transcription workflow for the DS-7000/3500 users.

 

 How does MIF benefit the end-user?

1. It improves reliability of final document by associating demographic information (such as Name, DOB...) with dictations.
2. It saves time by eliminating the need to manually input demographic information in the dictation files or final documents.
3. Simplify dictation and transcription process and minimize human errors.

  

In order to use MIF with the DS-7000/3500 Digital Voice Recorders you must have the Firmware version 1.10 or later which is posted on the dealers Olympus Pro Portal on the Technical Support page under Firmware Downloads.

Olympus DS-7000 Troubleshooting - Quick Guide

Unable to record

The card does not have enough memory. Erase unnecessary files or insert another card.
The card is unformatted. Format the card.
The maximum number of files has been reached. Change to any other folder.
The file is locked. Unlock the file.
The SD card is locked. Unlock the SD card. 

No playback tone heard

The earphone is connected. Unplug the earphones to use the internal speaker.
The volume level is set to [ 00 ]. Adjust the volume level. 

Unable to erase

 

The file is locked. Unlock the file.
The SD card is locked. Unlock the SD card. 

Noise heard during playback

The recorder was shaken during recording.
The recorder was placed near a cell phone or fluorescent lamp while recording or during playback.
Avoid to use the recorder near cell phones or fluorescent lamps. 

Recording level too low

The microphone sensitivity is too low. Set the microphone sensitivity to the conference mode and try again.   

 

Unable to set index marks  

 

The maximum number of index marks (32) has been reached. Erase unnecessary index marks.
The file is locked. Unlock the file.

The SD card is locked. Unlock the SD card. 

 

Unable to set verbal comments

 

 

The maximum number of verbal comments (32) has been reached. Erase unnecessary verbal comments. 

Cannot find the recorded file

 

 

Wrong recording media or folder. Switch to the correct recording media or folder. 

Cannot find the transferred files

The transferred files are not supported by this recorder.
The recorder can recognize the DSS file format only.

What is Olympus ODMS Software?

ODMS, which stands for Olympus Dictation Management System, is a complete dictation and transcription management suite designed to simplify your dictation workflow. It provides extensive features for not only Authors and Transcriptionist but IT Administrators as well, which will allow them to manage and customize their entire user base.

Olympus Dictation Management System (ODMS) allows users to play, edit and manage their dictations to improve  efficiency and increase productivity.

In order to support the various business styles ODMS comes in Standalone Mode and Workgroup Mode.

ODMS Standalone Mode

ODMS Standalone mode is designed to support Small and Medium Workflow Environment.  These types of environments typically do not have a requirement for centralized management and deployment. Standalone mode is better suited to smaller network environment where dictations are likely to be stored on a single server/host machine or e-mailed to the transcriptionist.

ODMS Workgroup Mode

ODMS Workgroup mode is designed to support Medium and Large environments. In Workgroup environment software and hardware settings can be centrally managed by the Administrator. Typically this installation mode would serve a large amount of users who transfer files to multiple servers or send files from multiple locations.

ODMS Standalone Mode and Workgroup mode are available in two different modules as well. The Dictation Module and Transcription Module. 

The Dictation Module can be used by authors so that dictation files can be easily downloaded and managed. The Standalone Dictation Module can be configured to be completely automated and once the device is connected to the PC files will be downloaded automatically.

The Transcription Module is designed to minimize transcriptionist workload and increase productivity. It allows transcriptionist to configure their transcription setting including playback control, user interface, and foot control functions. It can be configured to automatically open preconfigured templates in word processor and speed up transcription process.

Dictation Module is supplied with DS-7000 and DS-3500 Digital Voice Recorders.
